Why do you need a wedding planner? What happens behind the scenes!

Again and again, we are asked this question: Why do we need a wedding planner? What is your task on the wedding day? Why should we have you with us on day X? We are happy to show you what happens behind the scenes at one of our dream weddings this year.   

“The team was super nice and shared their opinion with us. You guys are very experienced with weddings and know what’s good and what’s not that good. That’s definitely a plus.”  

First of all, we have to take a quick look back at the planning phase. During the preparation period, we as wedding planners create a detailed script with all the important core, turning and fixed points of the wedding. We make sure that the day is planned, but also that enough time is included as a buffer. The arrival of the respective service providers, the shifts of the guests, the group photos as well as room plans and menu are noted on it as an indication. The script is the basis on which we prepare for the wedding day. With this script, we are prepared and have a safe and secure feeling that we have thought of as much as possible and discussed as much as possible. It is clear that despite precise planning and repeated checking and controlling, something can still not go as desired.  But this is where one of our strengths as wedding planners comes into play – improvisation. 

On the wedding day on-site it is normal and usual for us to act in the situation and to make the right decisions for our bridal couple and service providers. The bridal couple is not always involved in this process. Certain decisions are already made bilaterally with the location or individual service providers during the set-up. When circumstances change, it is necessary to react and do so in such a way that the celebration still meets the couple’s wishes. These decisions are, for example, short-term changes on site, which were not communicated, power outages or bad weather. That to mention just a few examples. 

On June 4, 2022, we were happy to celebrate the big day of Ceyda and Berceley. After a long wait and various Covid postponements, the two were finally able to tie the knot with a free wedding ceremony and a big celebration.  

On the wedding day, we are – as in this case – always around 10.00 clock on site. Immediately after arriving and unloading the material, we discussed the situation in the location again and checked whether the furniture had already been provided correctly. There we discovered that the chairs for the banquet were still stored in the shed nearby. So first we moved these to the banquet room.  

The ceremony chairs were already prepared for this wedding. Due to the number of guests still being adjusted on the day itself, we had to reduce the number of chairs and thus rearrange the arrangement so that it was right with the number and still fit the overall picture. Since the wedding ceremony took place on a gravel place, also the gravel was, again and again, prepared and repaired by us. The aisle of the wedding ceremony was decorated as well as tissues and soap bubbles were provided on the chairs. As soon as the wedding arch was delivered and decorated by the florist, everything was ready for the wedding ceremony.   

However, we also had to deal with unwanted swimmers on this beautiful sunny summer day. Since the location is right on the Rhine, many bathers kept walking through the wedding setting. A sign was put up by the location with the wedding notice, but we also looked on the spot to ask unwanted guests to bypass or wait for the ceremony to be over. While the preparations were going on at the wedding ceremony, the banquet hall was also being decorated. This is the reason why there are always two of us on site. Inside, the tables were decorated, the candy bar was set up, name tags were placed, and the first tests with the screen and projector were already made.   

 The bride and groom arrived at the venue around noon to prepare for the big day on site. The plan was that the bride and groom before the wedding ceremony still get a small snack. However, we were told by the maid of honor that this had not yet arrived at the bridal couple. So we took care of the food and at the same time the continuously arriving service providers as well as the setup of the interior and the last details of the wedding ceremony.   

We were able to start the wedding ceremony on time. The wedding ceremony of our bridal couple touched the guests as well as us very much. A wonderful story of how the two found each other.   

After the ceremony followed the congratulations and the aperitif. We, as wedding planners, had the task of arranging and supplying the chairs for the ceremony to make room for the aperitif. Of course, the location supported us in this. Also, a traditional custom was performed very spontaneously, which messed up our schedule a bit. But that’s exactly why we built in buffers in advance. During the aperitif, we also do the last check in the location, for example, the candles are lit and guests are made aware of the photo box and the guest book. When the group photos followed, especially the witnesses were brought on board, because they know the people and can round up the groups faster than we can. Of course, we also support them on-site.   

During the bridal bouquet toss, the women were motivated by us to catch the flowers. Quite spontaneously, the desired song for this bridal bouquet toss was played on playback by the band.   

After a wonderful afternoon, the guests slowly moved to the banquet area. Shifting guests on the spot is also a job of ours as Wedding Planners. We inform the guests early on about the next program item and help them find their own spot. Afterwards, the further timing for the served courses was again discussed with the location.   

During the meal, we and the bride’s parents transported the gifts into the car, so that they could be safely taken to the bride and groom’s hotel. Otherwise, we are busy with smaller tasks; headache tablets, blister plasters or finding quiet places for babies so that they can already be put down to sleep. 

So the evening of the two passed with funny guest contributions, a very emotional father-daughter dance and great music. Just as we were ready to leave as well, we noticed a few more guests wearing special hats. The four men were just on their way to the dance floor when we realized that they were not part of the wedding party. Just in time, we were able to stop the dancing guests and escort them out again. Thankfully, our guests did not notice the party crashers. Finally, satisfied and happy about another very successful wedding, we made our way to the nearby hotel to pick up the decoration and rental material the next day.  

We wish Ceyda and Berceley much love, joy and health for their future. We were able to enjoy a wonderful day with the two of them, in which above all love, a feeling of security and togetherness played a very important role. We thank you very much for the wonderful day and your trust in us to plan your wedding.  Even if not everything went perfectly behind the scenes, we hope that you did not notice this and were able to enjoy your day to the fullest.
