Pitfalls with wedding venues and service providers – it’s a topic people don’t like to discuss, but unfortunately, it can be part of wedding planning. And that’s exactly what we experienced with one of our couples.
The couple had already chosen their venue. Excitement was high, the planning was moving forward – and then communication with the venue became increasingly difficult. Emails went unanswered, phone calls remained vague, and previously agreed-upon commitments were suddenly walked back or questioned. After a while, it became clear: this couldn’t continue.

Together with the couple, we made a bold decision: to change the venue. At short notice. Completely from scratch. A huge effort – but it was absolutely worth it. In the end, it still turned into a beautiful, atmospheric day. And this experience wasn’t for nothing – it showed us just how important certain basic principles are when working with venues and vendors.


What you should look out for with vendors & venues
1. Trust Your Gut Feeling
If communication starts to feel off or you’re uncomfortable: address it. And if nothing changes, take action. Your wedding deserves reliability and peace of mind.
2. Clear Communication Is Essential
Response times, responsibilities, agreements – everything should be clearly defined and dependable. If you have to follow up repeatedly or don’t feel taken seriously, it’s a red flag. Great vendors communicate openly and respectfully.
3. Contracts Protect Both Sides
No matter how friendly or trustworthy someone seems – contracts with clear agreements are a must. What happens if someone gets sick? How long will the photographer stay? What are the setup and teardown times? The clearer the framework, the more relaxed the wedding day will be – and the safer you are if anything becomes unclear.
4. Ask Targeted Questions About Experience
Online reviews are a good starting point but also ask your wedding planner or other couples for personal experiences with a venue or vendor. A beautiful Instagram feed is no replacement for a genuine recommendation.
5. Flexibility Is Worth Its Weight in Gold
Sometimes things don’t go as planned – but that doesn’t mean the result will be worse. With the right team by your side, every challenge can become an opportunity.
